Privacy Policy

Last updated: 5 November 2026

Your privacy matters. This policy explains how JD Therapy Pty Ltd (ABN 74 666 204 422), trading as JD Therapy, collects, uses, stores and shares your personal information, including health information, and how you can access it or raise a concern.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and health information in line with the Health Records Act 2001 (Vic) and its Health Privacy Principles.

Who we are

JD Therapy is a private psychology practice in Melbourne run by Jaie, a registered psychologist. We offer therapy and assessments by telehealth Australia-wide and through outreach across Melbourne. In this policy, “we”, “us” and “our” mean JD Therapy Pty Ltd.

What information we collect

We only collect information that is reasonably needed to provide our services. Depending on your situation, this may include:

  • your name, date of birth, address, email, phone number and emergency contact
  • health information, such as the reasons you are seeking support, your history, wellbeing, session notes, assessment results and reports
  • Medicare details and referral information, such as a GP referral or mental health treatment plan
  • NDIS details, such as your NDIS number, plan management type, relevant plan goals, and your plan manager’s or support coordinator’s contact details
  • payment and billing details
  • for children and young people, details of parents, guardians or other people responsible for their care

With your consent, we may also receive information from other people involved in your care, such as your GP or other referrer, plan manager, support coordinator, school or other health professionals.

How we collect it

We usually collect information directly from you (or your parent or guardian), including when you:

  • complete the enquiry form on our website
  • email or phone us
  • attend sessions or assessments, in person or by telehealth
  • complete intake forms, questionnaires or service agreements

Where we collect information from someone else, such as a referrer, we do so with your consent or where the law allows.

Why we use and share your information

We use and share your information to:

  • respond to your enquiry and provide psychological services
  • process Medicare claims and bulk-billing, where applicable
  • send invoices and service information to you or your NDIS plan manager, where applicable
  • communicate with your GP, referrer, support coordinator or other providers, with your consent
  • manage appointments, payments and the day-to-day running of the practice
  • meet our professional, legal and insurance obligations

We will not share your information without your consent, except where the law requires or allows it. This includes where:

  • we reasonably believe it is necessary to lessen or prevent a serious threat to your life, health or safety, or someone else’s, or to public health or safety
  • we are legally required to, for example under a subpoena, court order or other legal obligation
  • mandatory reporting obligations apply, such as concerns about the safety of a child

Where it is safe and practical, we will talk with you first. We do not sell your information or use it for marketing.

Children and young people

We see clients from 5 years of age. For children, we usually collect information from, and share it with, their parents or guardians.

As young people grow, they may be able to make their own decisions about their privacy and care. Where a young person is assessed as mature enough to do so, we will respect their privacy and discuss with them what is shared with parents or guardians, unless there is a safety concern or a legal requirement. We will explain how this works at the start of our work together.

Staying anonymous

You can ask general questions without giving your name, or use a pseudonym, where this is practicable. To provide psychological services, process Medicare or NDIS claims, or meet our legal obligations, we will need to know who you are.

How we store and protect your information

Your information is stored electronically using secure systems, including our practice management software and telehealth platform (Splose), our email system (Microsoft 365), secure cloud storage, and online platforms used to score some psychological assessments. These service providers may store information in Australia or overseas.

We take reasonable steps to protect your information from misuse, interference, loss, and unauthorised access, change or disclosure. These steps include choosing reputable providers, using password protection with two-factor authentication, and limiting access to those who need it.

Email and other online communication can carry some risk. Please let us know if you would prefer we contact you another way.

How long we keep records

We keep health records for as long as the law requires. Under the Health Records Act 2001 (Vic), this generally means:

  • for adults, at least 7 years after your last contact with us
  • for information collected while you were under 18, at least until you turn 25

After that, records are securely destroyed or permanently de-identified.

Our website

Our website is hosted by Cloudflare. Like most websites, the hosting service may automatically log technical information, such as your IP address, browser type and the pages you visit, to keep the site secure and running.

We do not use advertising or tracking cookies, and we have not added analytics tools to this website.

Our website fonts are stored on our own website, so loading them doesn’t send your information to anyone else.

The enquiry form on our Contact page is provided by Splose. Information you enter goes directly into our practice management system and is used to respond to your enquiry. Please share only what is needed for now.

Accessing and correcting your information

You can ask to see, or get a copy of, the personal and health information we hold about you, and ask us to correct anything that is inaccurate, out of date or incomplete. Please contact us and we will respond within a reasonable time, usually within 30 days.

In some limited situations the law allows us to refuse access, for example if giving access would pose a serious threat to someone’s life, health or safety. If this happens, we will explain why in writing, where appropriate.

Questions and complaints

If you have a question or concern about how we have handled your information, please contact us first so we can try to resolve it. We will take your concern seriously and respond within a reasonable time.

If you are not satisfied with our response, you can contact:

  • the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au
  • the Health Complaints Commissioner Victoria at hcc.vic.gov.au

Concerns about a psychologist’s professional conduct can also be raised with the Australian Health Practitioner Regulation Agency (Ahpra) at ahpra.gov.au.
